Within the study, I focus mostly on activities related to the Host States implementation. Together with my colleague Patrycja Laidouni, incharge of the environmental studies for FCC as well, we attended the Project Management Meetup held on the 7th of November. During the meetup, Patrycja and I had the opportunity to interact with different colleagues from the CERN PM community. These interactions allowed us to realise that at least a few of them were lacking tools that could make their lives as PMs easier and help them achieve their goals. In particular, task management can be quite a heavy workload for most of us. In our team in the past Trello was the tool used for task management but, at some point before I joined the team, we had to transfer to another tool which is called Meistertask and which we are still using today. Meistertask allows the management of tasks through the implementation of a Kanban board (cards), enabling an easy and centralised visualisation of planned and ongoing activities and their status. I will present some of the characteristics of Meistertask that from our experience we find most valuable. This is of course a non-exhaustive list, and anybody interested can make a trial of the tool to grasp a better idea of its full potential. | RESPONSIBILITY ALLOCATION
It is possible to assign a responsible to each task making its ownership clear and transparent to all the members of the project. | | --- | | DRAG-AND-DROP
The cards can be moved from one column to another as progress is made in an easy and quick manner just by dragging and dropping them in the correct new column/section. | | IMPORT AND SYNCHRONISATION
Tasks or meeting notes can be imported, and the calendars can be synchronised including the deadlines fixed. | | REPORTING
There is a dedicated block allowing to obtain automatic and simple reports showing the progress on projects and tasks. It is a bit limited as there is no option for a customised more advanced reporting, but as a first overview it can yet be useful. | SCHEDULE TASKS AND DEADLINES The timeframe for the realisation of the tasks can be scheduled and deadlines for the finalisation of the activities can be fixed as well. If the deadline is exceeded, the task is highlighted as overdue. | GANT CHART
A timeline in the form of a Gantt chart can be automatically visualised. It allows to access the scheduled tasks direction from the chart. The tasks can also be rescheduled by dragging and dropping them. | | --- | | | | AUTOMATIONS
Task assignment, update of task status, time tracking, recurring task creation, and other, can be automated. The automations are done per column/section in the project. Notifications on updates can be automates as well. | TEMPLATES A number of templates allow not to begin a new project completely from scratch. Some PM t
