A practical guide for PGR students on constructing a Gantt chart to visualize and plan a PhD research timeline. It outlines how to split a doctoral journey into key phases such as literature review, research design, data collection, analysis, writing, revision, and submission preparation. It also explains how to decompose phases into actionable tasks, estimate timeframes with buffer periods, set milestones, account for task dependencies like ethics approval and analysis sequencing, and choose effective planning tools.

Final Tips

Here's a step-by-step guide for PGRs on how to construct a Gantt chart to help you visualise and plan your research timeline effectively. Gantt Chart Guide for PGRs A Gantt chart is a visual project management tool that helps you plan, schedule, and track tasks over time. For PGRs, it’s especially useful for organising research milestones, data collection, writing, and submission deadlines. Step 1: Define Your PhD Phases Break your PhD journey into major phases. These typically include: Literature Review Research Design Data Collection Data Analysis Writing Chapters or papers if you are doing your PhD by publication Revision & Editing Submission & Viva Preparation Step 2: Break Down Each Phase into Tasks Each phase should be broken into specific tasks. For example: Literature Review Identify key databases (Oct–Nov 2025) Read 50 core papers (Nov 2025–Jan 2026) Annotate and summarise findings (Dec 2025–Feb 2026) Data Collection Ethics approval (May 2026) Pilot study (June 2026) Full data collection (July–Sept 2026) Step 3: Choose a Tool to Create the Gantt Chart You can use: Excel or Google Sheets (manual but flexible) Microsoft or Trello (visual and collaborative) Notion (great for integrating notes and tasks) GanttProject (free desktop tools) Online tools like TeamGantt Step 4: Assign Timeframes Estimate how long each task will take. Be realistic and include buffer time of 20%. Give a start and end data for each task Tip: Use academic calendars to avoid planning major tasks during holidays or busy teaching periods. Step 5: Add Milestones and deliverables Milestones are key achievements or deadlines. Examples: Submit project plan: Jan 2026 Finish APR report: May 2026 IPAP: June 2026 Literature review chapter draft: April 2026 Step 6: Visualize Dependencies Some tasks depend on others. For example: You can’t start data analysis until data collection is complete, or you might need ethics approval first. Writing results depends on analysis. Example Gantt Chart plan see attached excel file with example plan Final Tips Review monthly: Update your chart as your project evolves. Include teaching, conferences, and publications. Colour-code tasks by type (e.g., writing, data, admin). Share with your supervisor for feedback and accountability Build up gradually but always start with what you know for year one.

FAQs

What phases should PGRs include when building a Gantt chart for a PhD?

Common phases include literature review, research design, data collection, data analysis, writing/revision, and submission plus viva preparation. The guide also suggests listing writing chapters or papers if publishing-based.

How should tasks be broken down within each PhD phase?

Each phase should be divided into specific tasks with clear actions, such as identifying databases, reading core papers, annotating findings, completing ethics approval, running a pilot study, and performing full data collection.

How do you assign timeframes and improve accuracy in a Gantt chart?

Estimate the duration for each task, set realistic start and end dates, and include buffer time (about 20%). The guide recommends using academic calendars to avoid major work during holidays or busy teaching periods.
