The easiest way to do this is to filter the invoice list to show only those with a blank QuickBooks Id, select all of those invoice, and clicking the Sync with QuickBooks button. This will require you to use the column chooser to add the QuickBooks Id column to the list view. \nYou can use the Ctrl+A combination on the keyboard to select all invoices. Alternatively you can single-click the first invoice then hold down the control (ctrl) key while single-clicking on additional invoices to choose them, or single-click the first invoice then hold down the shift key and single-clicking the last invoice to select a range of invoices. \nQuickBooks requires that any object – customer, sales order (job), product, etc.– be sent to QuickBooks prior to sending the invoice. ScaleSoft will attempt to do this automatically for you automatically before sending the invoice itself. However, if there is an error sending any of the prerequisites to QuickBooks the sync process will stop and the error that QuickBooks reported will be displayed. Unfortunately these error messages can be somewhat cryptic so it may take a little research on your part to resolve the issue. You can always skip that invoice and return to it later if you need to. \nInvoice Versions \nUnlike other objects the invoice has three different layouts or “versions” to choose from. The invoice itself will be the same regardless of which version you choose. Only the layout of the tickets (i.e. line items) will change. Note that versions 2 and 3 require QuickBooks 2007 or later and you will need to modify your templates in QuickBooks to include the Other1 and Other2 columns. Other1 is used for the ticket number and Other2 is used for the units. \nPlease refer to your QuickBooks documentation for details on changing the invoice templates. \nB-TEK Scales, LLC 1510 Metric Ave. SW Canton, OH 44706 \nVersion 1 \nHere’s an example of what version 1 tickets would look like in QuickBooks: \nProduct 2, Delivery, EPA Fee, Environmental Fee, Generation Fee, and Hosting Fee would all be separate line items. \nVersion 1 calculates the “rate” as the extended amount divided by the quantity and rounded to 4 decimal places. This is done because QuickBooks does not have the concept of a “minimum charge” for a product and many ScaleSoft users require this feature. For example you may have a $9.25 / ton unit price but you have a $50 minimum. If ScaleSoft passed $9.25 as the rate then QuickBooks would calculate the amount as quantity times the rate which may be less than the $50 minimum charged by ScaleSoft. \nVersion 2 \nHere’s an example of what version 2 tickets would look like in QuickBooks: \nThe description is a little cleaner and the ticket number and units have been moved to their own columns (Other1 and Other2) . \nVersion 3 \nHere’s an example of what version 3 tickets would look like in QuickBooks: \nThe difference here is that everything – product, product 2, delivery, etc.– are combined into one line item as long as all items have the same taxable / non-taxable status. If there is a discrepancy in the taxable status then it reverts to version 2 for that ticket. For example, if the product is taxable but there’s an EPA fee (which is not taxable) then it will break everything into separate line items as in version 2 in order to calculate the correct sales tax. \nB-TEK Scales, LLC 1510 Metric Ave. SW Canton, OH 44706 \nSending Updated Invoices to QuickBooks \nIf you update an invoiced ticket in ScaleSoft then you can sync the invoice again. This will delete the original invoice and send the invoice to QuickBooks again. \nPrinting Invoices From ScaleSoft \nQuickBooks doesn’t offer all of the fields that ScaleSoft does and this can be somewhat limiting.
