Navigate to UCPath Payroll \n2. Payroll Expense Inquiry \n3. Choose your limiting factor(s) as appropriate: ledger date, LAFS, Earn Code, etc. \n4. Submit Request \n5. Export to Excel In Excel: \n1. Choose “Insert” on the Ribbon Bar \n2. In the upper left corner choose PivotTable \n3. The “Create PivotTable” wizard will automatically choose the range from the payroll inquiry spreadsheet \n4. Click OK \nTip: reduce the row range by one row so you’ll exclude the row that totals the “Amount” in your \nspreadsheet. If you include that row, it can cause some confusion as you look at totals in the pivot table. \nIn this sample case, I would change the selection to go through row $AU$184 \nA new worksheet tab will be created and prompt you to define the fields of your PivotTable \nAs you click on the fields, your PivotTable will populate with data from your spreadsheet. \nReconciliation Based on Job Code \nUsing our TA account as an example, here’s our PivotTable and the fields we’ve chosen: \nData can be transferred as a lump sum to a reconciliation spreadsheet: \nBalancing to the General Ledger \nTo balance to the general ledger we need to know our year-to-date appropriations and expenditures. The simple spreadsheet that we used in the previous example provides a way to track both, with the end result matching the general ledger. \nTA Account Reconciliation Spreadsheet \nThis TOF is not included in the appropriation because it has not yet hit the general ledger. \nSpecific Reconciliation by Employee \nLadder faculty and Sub 1 career staff are permanently funded via the Staffing List. Merits and range adjustments for those paid on state funds are covered by campus. The July 1 staffing list amounts are noted on your July General Ledger as “July 1 Adjusted Budget”(July 1 ADJ Budget). Because funding for these employees can come from several sources it may be best to track their payroll individually. \nLadder Faculty Staffing List – July 1 Complete \nLadder Faculty Reconciliation Spreadsheet – April \nLadder Faculty PivotTable – April payroll \nLadder Faculty General Ledger-April \nCareer Staff Staffing List – July 1 Complete \nCareer Staff Reconciliation Spreadsheet – April \nAppropriations = Staffing List + Costing Report \nCareer Staff General Ledger – April \nPayroll Object Codes: \n\n| | M0 | B1/2X |\n| --- | --- | --- |\n| 1100 | REG + SKL | REG + SK1 + HLN + CON |\n| 1950 | VAC | VCN |","cbCaitzbtSKsysoH","https://ap.wps.com/l/cbCaitzbtSKsysoH","pdf",1086860,10,"English","# Basics of Manipulating Data\n## Reconciliation Based on Job Code\n## Balancing to the General Ledger\n## Specific Reconciliation by Employee","[{\"question\":\"How do you access payroll expense data in UCPath and prepare it for reconciliation?\",\"answer\":\"Navigate to UCPath Payroll, run a Payroll Expense Inquiry, choose limiting factors like ledger date, LAFS, and Earn Code, submit the request, and export the results to Excel.\"},{\"question\":\"What Excel PivotTable steps are used to analyze the payroll inquiry spreadsheet?\",\"answer\":\"Use Insert on the ribbon, choose PivotTable, let the wizard select the range from the payroll spreadsheet, click OK, and define the fields so the PivotTable populates with the exported data.\"},{\"question\":\"How is the payroll balanced to the general ledger?\",\"answer\":\"Track year-to-date appropriations and expenditures using the spreadsheet used in the prior example, then confirm the end result matches the general ledger.\"}]","Reconciling the Payroll Ledger - June 18, 2019 | PDF",1790074029]
