Further, elements of this policy are included for compliance with the Cook County Paid Leave Ordinance (24-0583) and effective for Park Districts on 1/1/2025 (amended 24-1233) . If the ordinance is changed or amended prior to the requirement of January 1, 2025 then this policy will revert back to the original policy previously in effect. \nEligibility \n~~PT3 and PT4~~ Part-time employees are eligible to earn paid vacation ~~days~~ time. \nEffective Date \nVacation time for part-time employees is available as it is earned. \nVacation Time Calendar \nThe vacation year is the calendar year (January 1 through December 31) . \nVacation Time Accrual Schedule \nThe ~~number of days~~ amount of vacation time that ~~PT3 and PT4~~ part-time employees may earn in a calendar year is based on the number of calendar years of employment they have completed with the Park District by December 31, as follows. \nPT1 and PT2 Employees \n1 hour of vacation per 40 hours worked \nPT3 Employees \n1-4 Years = 1.1 hours per 40 hours worked \n5 or More Years = 1.4 hours per 40 hours worked \nPT4 Employees \n1-4 Years = 1.1 hours per 40 hours worked \n5 or More Years = 1.8 hours per 40 hours worked \n~~PT3 and PT4 employees earn paid vacation days pro rata on the last day of each month during the calendar year~~. \n~~Advanced Vacation Time~~ \n~~Employees may use vacation that has not yet been earned, but which will be earned prior to the end of the calendar year, in advance, subject to the following conditions~~.~~ In order to use unearned vacation in advance, employees must sign a written agreement authorizing the Park District to deduct any used but unearned vacation from the employee’s final pay in the event the employee’s employment with the Park District ends~~,~~ whether voluntarily or involuntarily~~, ~~before the used but unearned vacation has been earned~~.~~ The amount of unearned vacation days which may be used in advance in a calendar year is limited to the amount of vacation that an employee is able to earn in that~~ \n. . \nVacation Time Pay Rate \nVacation time for part-time employees is paid at the employee’s lowest rate of pay, but not less than the current minimum wage. ~~The rate of pay for vacation time will be the average rate of pay from the previous calendar year (computed by dividing the regular gross earnings by the regular total hours worked for the previous calendar year) ~~. \nMinimum Usage \nPart-time employees must use paid vacation time in at least 2-hour increments. In the event the employee’s shift is less than 2 hours, the employee must still use 2-hours of vacation time. \nRequesting Vacation Time: \n• An employee may request to use up to 40.0 hours of vacation time for any reason of the employee's choosing. The employee (1) is not required to provide a reason for using up to 40.0 hours of vacation time,(2) is not required to provide documentation or certification as proof or in support of up to 40.0 hours of vacation time and (3) is not required to find a substitute for themselves. When practical, the employee should request vacation time via a Leave Request form which is available on the J Drive up to seven (7) days in advance in order to support smooth running operations. In the event of an unexpected emergency, employees may notify their immediate supervisor of their need for vacation time in the following ways: phone call, voicemail message, text message, or email message. After the use of unplanned vacation time, the employee and immediate supervisor must still complete a Leave Request form which is available on the J Drive. \n• Beyond 40.0 hours of vacation time, employees must request and ","cbCaihmMx4RJUOSV","https://ap.wps.com/l/cbCaihmMx4RJUOSV","pdf",124843,"English","# Purpose\n# Eligibility\n# Effective Date\n# Vacation Time Calendar\n# Vacation Time Accrual Schedule\n# Vacation Time Pay Rate\n# Minimum Usage\n# Requesting Vacation Time\n## Notification of Approval\n## Notification of Denial\n# Carry Over of Unused Vacation Time","[{\"question\":\"Who is eligible for paid vacation time under Policy 7.03?\",\"answer\":\"Part-time employees are eligible to earn paid vacation time, with accrual rules that differ by PT1/PT2, PT3, and PT4 employment categories and years of service.\"},{\"question\":\"How is vacation time earned and calculated for part-time employees?\",\"answer\":\"Vacation time accrues based on the number of calendar years of employment completed by December 31, using different hours-per-40-hours worked rates for PT1/PT2, PT3, and PT4.\"},{\"question\":\"What are the rules for requesting vacation time and what happens if a request is denied?\",\"answer\":\"Employees may request up to 40.0 hours without providing a reason or documentation, and must complete a Leave Request form after unplanned use.
