Parents or guardians will be sent a friendly reminder SMS to be notified of the dishonour and advised that they will be required to pay the outstanding amount prior to the next direct debit date. \n2. An additional fee of $8.80 will be debited 7 days after payment is declined if the amount remains unpaid. \n3. Upon a second attempt of the direct debit being declined the parents or guardians will be contacted by the Enrolment Officer to discuss their options including information on a range of support options available to the family. \nStep 2-Outstanding fees debt 30-60 days \nIf the following and third attempt at direct debit has been declined, the outstanding amount remains unpaid for 30-60 days and no contact has been made by the parent or guardian: \n1. An overdue payment letter will be sent to the parents or guardians reminding them of the amount outstanding and requesting payment within 7 days or acceptance and return of an outstanding fees payment plan. \n2. An outstanding fees payment plan form will be sent with the overdue payment letter to the parents or guardians. \nStep 3-Outstanding fees debt 60-90 days \nIf the outstanding amount remains unpaid for 60-90 days and no contact or payment plan has been received from the parent or guardian: \n1. The Executive Officer will reserve the right to employ the services of a debt collection agency after investigation of family circumstances and the amount of debt is significant enough to warrant collection. (Refer to Step 4 – Bad debts and withdrawal of enrolment) \n2. If the Executive Officer finds after investigation of family circumstances that the family situation warrants writing off the debt and the child should remain enrolled, then a recommendation will be forwarded by the Executive Officer to the Board for approval. \nStep 4-Bad debts and withdrawal of enrolment \n1. A final letter of demand for overdue payments will be sent to the parents or guardians informing them of the decision to employ the services of a debt collection agency to recover the amount outstanding if outstanding fees have not been paid within two weeks. \n2. If the fees have not been paid within the two weeks period stated in the final letter of demand, the Executive Officer after investigation of family circumstances at their discretion may withdraw the child’s place at the service by providing the parents or guardians with 14 days’ notice in writing signed by the Executive Officer \n3. Where the amount of outstanding fees is $200 or less and the above steps have been followed the Executive Officer may recommend that the Board write off the bad debt. \n4. Where the amount of outstanding fees is above $200 and the above steps have been followed the Executive Officer may employ the services of a debt collection agency to recover the amount outstanding. \nRELATED DOCUMENTS \n• Kindergarten Fees policy \n• Long Day Care Fees Policy \n• Outstanding fees payment plan form \n• Overdue payment letter \n• Final letter of demand for overdue payments \n• Withdrawal of child’s place at service letter","cbCaik5TZgaOcXof","https://ap.wps.com/l/cbCaik5TZgaOcXof","pdf",119146,"English","# Purpose\n# Scope\n# Procedure\n## Step 1-Direct debit payment declined\n## Step 2-Outstanding fees debt 30-60 days\n## Step 3-Outstanding fees debt 60-90 days\n## Step 4-Bad debts and withdrawal of enrolment\n# Related documents","[{\"question\":\"What happens when a direct debit payment is declined?\",\"answer\":\"A friendly reminder SMS is sent to parents or guardians, and they are required to pay the outstanding amount before the next direct debit date.
