Create Rules: Automate your work (especially your folder-organization), color-code emails by importance or sender \n• From the Rules tab on the ribbon, click Manage Rules & Alerts \n• To create a new rule, click on New Rule, or select an email already in your inbox. Example 1: Create a Rule from an email already in your inbox \nCreate a rule to automatically send BU Today emails to a BU Today folder. \n• Select today’s BU Today email. \n• Click on Rules and select Always Move Messages from: BU Today. \n• Choose an existing folder to move the email to, or create a new one. Click OK. \nExample 2: Create a New Rule without using an existing email. \nCreate a rule to color code emails sent only to you. \n• Rules > Manage Rules & Alerts > New Rule \n• Select a template – click on Apply Rule on Messages I receive, click Next. \n• Click Sent only to me, and click Where my name is in the To box, click Next. \n• Click Assign it to the category category, and in the text box below, click on the underlined category to select (or create) a category. Click OK. Click Next. \n• Add in any exceptions to the rule, and click Next. \n• Enter in a name for your rule, or use the one Outlook creates for you. You can choose to run the rule now to apply it to any messages currently in your inbox, or to turn it on (which applies the rule when new emails arrive) . Click Finish. \n2. Use Quick-Steps: One-click for several steps such as ‘Mark as done and Move email to a folder’. Outlook has some Quick-Steps already created, like “Create an Appointment from the body of this email” \nExample : Create a Quick Step \nCreate a Quick Step to mark a message as Complete, move it to a specific folder, and email your Manager that the task is complete. \n• Click Create New. Enter a name for your Quick Step. \n• From the dropdown, select Mark Complete, then click Add Action. \n• From the dropdown, select Move to Folder, then select the appropriate folder, or select“Always Ask for Folder”. Then, click Add Action. \n• From the dropdown, select Forward, and then add your Manager’s email address in the To field. \no Click Show Options to add CC’s or BCC’s, or to edit the subject or body text. \n• You can create a short-cut key for this Quick Step if you’d like. \n• Click Finish when you’re done. \nType Less \nReduce the amount of time you spend typing the same thing over and over. Give those fingers a break! \n1. Templates: Create an email template for messages that you send over and over again. \nExample: Create a Template \n• Creating a Template: \no Write the body of the email you’d like to save as a template. \no Click Save As and save the email as an Outlook Template. \n• Using the Template: \no From the Home tab, click on New Items, select More Items > Choose Form \no Select User Templates in File System and select the appropriate template. \no Edit the message as necessary – editing the message does NOT change the template. \no Send the message when you’re ready. \n2. Signatures: Create an email signature to use as a template instead. \nExample: Create a Signature \n• Creating a Signature \no Open a new message, and click on Signature. Click on Signatures, and then New. \no Enter in the text of your email here, and add a name to your signature. Click OK. \n• Using a Signature \no Open a new message, and clic","cbCaifVdrKV9akXT","https://ap.wps.com/l/cbCaifVdrKV9akXT","pdf",131515,13,6,"English","# Paper Pushing\n## Create Rules\n## Use Quick Steps\n# Type Less\n## Templates\n## Signatures\n## Quick Parts\n## AutoCorrect\n# Be Less Distracted\n## Turning off notifications","[{\"question\":\"How do I create an Outlook rule to automatically move emails to a folder?\",\"answer\":\"Open Rules \\u0026 Alerts from the Rules tab, choose New Rule, select the relevant email sender or condition, then pick an existing folder or create a new one.
