Setting the tone for meetings comes from the top down and time spent getting organized upfront will pay off in tasks getting accomplished down the road. \n• Following individual and chapter goals and Program of Work is highly recommended. \n• Officers should be assigned a binder with the following tabs labeled: \n- Meeting Agendas and Minutes (Agenda on top) \n- Calendar of Events (updated monthly) \n- Program of Work \n▪ See Page 11 in the Adviser Resource Guide. \n- Other (personal notes, to do lists, personal goals, etc.) \n▪ Agenda Templates \n▪ Meeting Minute Templates \n▪ Accountability Charts \nOFFICER MEETING VS CHAPTER MEETING \nOfficer Meetings \nOfficer meetings are meant to plan, organize, and implement the details of chapter management. They are the time when the officer/leadership team meets and discusses the status of activities and events that the chapter is either participating in or planning. The officer team should have committee chairs from each class designated to serve as a liaison on the team in addition to the chapter officers. Officer meetings should be held, at a minimum, twice a month. \nChapter Meetings \nChapter meetings are an opportunity for all members to get together to not only network, but to be informed of upcoming events and opportunities for involvement and participation. Chapter meetings can realistically be held once a quarter and should have an organized and scripted agenda. Chapter meetings are an excellent time to invite a guest speaker to address members on the benefits of FBLA. \nOFFICER MEETING RESPONSIBILITIES \nPresident: Creates the agenda for approval 24 hours prior to meeting; \nconducts the meeting (must be versed in parliamentary procedure) . \nVP of Leadership: Assigned to all non-competitive event items on the agenda. \nVP of Competitions: Assigned to all competitive event items on the agenda. \nPublic Relations: Announces the meeting through all social media outlets, as well \nas through print and all other marketing channels available. \nTreasurer: Assigned to all financial items on the agenda. \nSecretary: Organizes refreshments, books the meeting space, sets up the \nmeeting space, puts out the gavel for the President, makes copies of and disperses meeting agenda, takes minutes during the meeting. \nRUNNING AN OFFICER MEETING \n1. Pre-Planning \nRules for attendance should be determined by the adviser prior to elections and should be stated in an Officer Contract signed by each officer upon being elected. Scheduling of officer meetings should also be stated and agreed upon prior to elections, [ie. bi-monthly on](ie. bi-monthly on) the 1stand 3rd Wednesday, etc. \na. Officer team should all be in a group chat, such as Remind 101, and should be sent a reminder by the President no less than 24 hours prior to the meeting. \nb. Officer meetings can typically be held in a classroom either at a large table or by circling desks facing each other. \nc. If being held at lunch, President should include in the reminder for officers to bring their lunch as providing lunch throughout the year can be costly. \nd. Meeting length should be kept at 30 minutes; use of parliamentary procedure is highly recommended. \n2. Agenda (see sample agenda provided below) \nOnce the agenda is approved, the Secretary should make copies of and hole punch for each officer: \na. Agenda for current meeting \nb. Minutes from previous meeting \n3. Call to Order \nTo start the meeting, the President, or presiding officer, should call the meeting to order and state the date and time. Example: “This meeting is called to order at 12:30 p.m. on August 2, 2017.” \n4. Minutes (see sample meeting minutes provided below) \nMeeting Minutes are completed by the Secretary and should be copied, hole punched and provided to the team prior to calling the meeting to order.
