Morse Gorman Bros. , Inc. \nEveryfacedon’nownewt seeandchalm tothenlengehave,ws trellly \ndefined (or obvious) solutions. At Gorman Bros., Inc., we find that even though our business is road construction, we have to handle many non-constructionrelated issues, including capital improvements and maintenance of our own offices. And, since we have a large staff, we face numerous employment-related issues. One of those, Gorman’s Flexible Benefit Plan, was particularly challenging. We needed a system to track, manage and report benefits. Once the solution would have been to purchase specialized benefitrelated software. However, by thinking outside the box, we discovered our Job Cost module provided us the means to solve a key challenge in the automation of our Flexible Benefit Plan. No additional software needed. \nAs part of our Flexible Benefit Plan, our payroll department was using a manual check writing system to issue checks. Checks and balances were kept on cards, and no statements were being given to the employees. The challenge was setting a limit to prevent payments exceeding \nthe employee’s elected amount. Checks needed to be issued from Sage Timberline Office, and a statement needed to be included each time an employee got a reimbursement check. This was no easy task. \nThe Accounts Payable Option \nSince I was very familiar with Accounts Payable, my first thought was to see if there was away of putting a limit in a vendor record. I could, of course, use a custom field, then run areport against the limit before paying the invoice. This was definitely not elegant, and since we would have to enter an invoice, then run a report, there was no way to have the AP system notify us at the time of entering an invoice that a limit had been reached. This was not acceptable. \nThe Commitments Option \nNext, I thought about commitments, which are in Job Cost. I tested entering a commitment for an employee with a $1,000 yearly election amount. I then created an invoice in A/P and entered the commitment in the distribution. I purposely entered the invoice for more than \nthe committed amount. The result: A/P would only enter the invoice for $1,000 . I started to get excited knowing I was on to something. My test involved entering another commitment for $1,000 and creating several invoices using the commitment in the distribution. Once I reached my limit, I was restricted. This was very good. I was satisfied at this point that using Job Cost Commitmentsand Accounts Payable would bea good system for automating the Flexible Benefit Plan. \nContinued on page 6 \nIN THIS ISSUE \nJob Cost Isn’t Just for Jobs; Gorman Finds Other Uses ....................................... 1 \nUsing Meeting Minutes Can Save Hours of Work ............................................ 2 \nSetting Up and Maintaining “Roles” In MyAssistant Are Key to Efficiency ... 3 \nCustomizing the Look of Your Estimating Spreadsheet .................................... 4 \nNo Desk, No Chair Required For the Versatile MyAssistant ...................... 8 \nCost-effective, Convenient, and Credible: That’s E-Learning Through CFMA ................................ 10 \nTUG Online Training Calendar ................... 11 \nTUG Events Calendar ................................ 11 \nThe Estimating Guru’s Tips & Tricks ......... 12 \nUsing Meeting Minutes Can Save Hours of Work \nby: Lynn Bitar Thomas & Egenhoefer, Inc. \nHow many of us have been in \nthat first job meeting when \nsomeone asks,“Who wants to take the meeting notes?”We’ve all been there, and we’ve all sat on our hands, not even considering volunteering for that thankless job.
