Creating an \ninvoice is necessary to get paid for your work. Invoices ensure that your client knows exactly the work you have completed, any deliverables, and how much is owed. In addition, invoices allow for clear communication about the extent of your work and serve as evidence of work progress and completion. \nObjective: \n 􀀂 Develop a bill of materials, and create an invoice for a graphics job. \nKey Terms: \n 􀀂 bill of materials \nbilling method \nclient \ndeliverable \ninvoice \nline item \nsum \n Understanding Invoices \nCreating a clear and accurate bill/invoice for your work demonstrates professionalism and is necessary to receive payment for your work. \nBILL OF MATERIALS \nA bill of materials is a list of the parts or components required to complete a product or project. Generally, a bill of materials is used to help establish the price of a certain job, as a shopping list of ingredients would be used when preparing to cook or bake something. \nE-unit: Invoices \nPage 1 􀀂 [www.MyCAERT.com](www.MyCAERT.com) \nCopyright © by CAERT, Inc.— Reproduction by subscription only. 760016 \nINVOICE \nAn invoice is an itemized bill of goods sold or services provided, containing individual prices, the total charge, and the terms. The invoice provides the clients with complete details of the work and the services for which they are being charged. This includes the sum total. The sum is the total amount of money or time needed to complete the project. A client is a person or organization using the services of another professional person or company. The basic items to include on an invoice are: \n􀀃 The contractor’s contact information should be clearly indicated on the invoice. This should include a name and/or business name, a mailing address, phone number (s), and email address. \n􀀃 The client’s business and/or personal contact information should be clearly indicated on the invoice. This should include a name or the name of the business, the name of the contact person(s) who commissioned the work and his or her title (if appropriate), address, phone number(s), email address, and any other relevant information that ensures the invoice arrives at the correct location and to the correct contact (e.g., mail codes, floor, and suite number) . \n􀀃 Details of the project include the project name, the invoice date, and the specific project number for the invoice (as more than one invoice may be required per project) . In addition, it is necessary to indicate the invoice is for the entire project and/or for a specific stage or phase of the project, if applicable. \n􀀃 A billing method is the agreed upon way in which the invoice would be paid by the client: hourly, quarterly, or per project. Billing details should include a detailed list of the work completed to date, charges for portions ofthe work, total number of hours worked (if using an hourly rate), and a total per line, including work billed at different rates. Aline item is an entry that appears on a separate row in a bookkeeping ledger or a fiscal budget. It is a single item for each charge in a bill. Providing a separate line item for each billing rate is recommended. \n􀀃 Any additional billable services should be listed. Then it is important to total each amount due. Receipts are typically required for these added services. Additional billable charges are travel, meals, and lodging; printing; mock-ups or prototypes; and materials needed for studies. \n􀀃 The invoice should show the total amount due to the contractor. The total sum due for all services and deliverables should be listed. A deliverable is a product or service given to a client. It is often tangible, measureable, and specific. Sometimes it is intangible but quantifiable. For example, a report is tangible. In contrast, a software program is intangible, but it is quantifiable. Graphic communication professionals may produce both types of deliverables.
