(Central Time) \nRFI Issued By: Brian Cook, RFP Coordinator \nSMU – Purchasing Department \nSection 1 ‐ Overview \n1.1 Introduction \nSouthern Methodist University (SMU) is interested in reviewing options to determine the viability of Integrated Workplace Management System (IWMS) solutions on the market in preparation of issuing a Request for Proposal (RFP) for a fully integrated IWMS to manage its physical assets. This Request for Information (RFI) invites responses from qualified vendors/consultants who provide solutions that include the five components necessary to be called an Integrated Workplace Management System, including facilities & space management, maintenance management, capital project management, real estate & lease management, and energy management. In addition, the vendors/consultants should provide information about the implementation and integration of IWMS with other software solutions. \n1.1.1 Objective \nSMU seeks to find out more about industry‐leading IWMS that provide capabilities across the full system of the enterprise. Due to tight budgets, facility maintenance demands, and the need for accurate, consistent, and integrated facility information, the University would like to learn about solutions on the market. IWMS should integrate business processes and data elements with other legacy systems (e.g., PeopleSoft) within a shared technology platform. \nAligning these elements will allow SMU to maintain accurate, consistent data, thus allowing the University to make data‐driven, strategic decisions regarding the efficient and effective use of resources. \nConsequently, SMU is interested in discussing its plans to implement various IWMS components and is looking for guidance from respondents regarding best practices as well as references from other institutions where IWMS has been successfully implemented. In addition, although SMU’s preference is to work from a single IWMS platform, please note that the University understands there are highly strategic systems that may not encompass all IWMS components. Vendors of such options are encouraged to respond and/or partner through a consultant in response to this RFI. \n1.1.2 General Background \nFacilities Planning and Management is responsible for SMU’s physical assets in the areas of project management, maintenance and grounds, real estate management, planning and engineering, space management, and energy management. This group seeks to provide a safe, functional, clean, and welcoming campus environment for faculty, staff, students, and visitors in support of the University’s mission and strategic initiatives. Most importantly, it seeks to grow from a reactive organization to a service‐driven and proactive partner with the University. Implementing IWMS, including CAFM and CMMS, will allow the organization to truly assess performance and drive enhancement. \n1.2 Current Operating Environment \nEntering its second century of achievement, SMU is recognized as a university of increasing national prominence and impact. The University offers a strong foundation in the humanities \nand sciences, as well as undergraduate and graduate degree programs through seven schools. Students benefit from small classes and opportunities for research, leadership development, and unique learning experiences on campus and around the world. SMU is dedicated to shaping world changers. It prepares students to make an impact through their chosen professions and service to society. SMU was founded by what is now The United Methodist Church in partnership with civic leaders. The University is nonsectarian in its teaching and committed to academic freedom and open inquiry. \nToday, SMU enrolls nearly 12,000 students and has a total operating budget of approximately $660 million.
