The SIMS Attendance module provides a choice of five types of letter (referred to as Query Types): \n◼ Absences (letters for requesting reasons for unexplained absences) \n◼ Lates (letters concerning a pupil who is frequently late) \n◼ Percentage Attendance (letters giving a percentage level of attendance) \n◼ Continuously Absent (letters asking for an explanation of why a pupil is still absent) \n◼ Chosen Code (letters picking up particular codes) . \nThe letters have no pre-defined areas as the text is user-defined. The completed letters are previewed in Word where they can be edited (if necessary) before printing. \nDefining Letters \nWhen defining a letter, a template is being created for that letter. As many letters as required may be defined. All letters are then available for printing through the Reports menu. \nEach letter should have a user-defined name and be allocated one of five Query Types (Absence, Late, Percentage Attendance , Chosen Code or Continuous Absence) . Allocating the Query Types enables SIMS Attendance to search for appropriate pupils when letters are generated. \nHeaded paper may be used when printing the letters or, alternatively, a generic template can be created which contains text common to all letters which are to be produced, for example, school name and address. \nNOTE: The school logo could also be included, however, inserting any graphic is likely to slow down the mail merge process. \nStep by Step-To Add a New Letter Definition: \n1. Select Tools | Setups | Attendance Setup | Letter Definition to display the Letter Definition dialog. \nClick the New button to display the New Letter dialog. \n3. Enter a Name for your new letter. Each letter should have a name (description) . \n4. Click the Query Type drop-down list and select one of the following from the menu displayed: \n5. Click the OK button to launch Word. It should open on the task bar on your desktop \nContinuous Absence (currently absent without explanation) \nLates (before or after registration or both) \nPercentage Attendance (a specified \npercentage attendance) \nUnexplained Absence (unexplained absence) \nChosen Code (a specific present or absence code) . \n6. When composing the letter, merge fields may be included. These assist with designing a single letter which will cater for a range of pupils with different attendance figures. \nThese merge fields are available from the Insert Merge Field drop-down list under the Mailings tab (Office 2007 or above) . \n7. Enter the text and insert the appropriate fields where required. \n8. Click the Save button to save the letter and exit Word. \n\n| Merge Field | Example |\n| --- | --- |\n| Salutation | Mr and Mrs Abbot |\n| Address_block | Mr F and Mrs R Abbot 22 West View Rainham\u003Cbr>EAST TOWN\u003Cbr>Eastshire\u003Cbr>S15 9LR |\n| he_she | he |\n| He_she | He |\n| him_her | him |\n\n9. The Letter Definition dialog lists all existing templates including the ones just defined. \n10. Click the Close button to close the Letter Definition dialog. \nPrint a Letter or Certificate \n1. Select Reports | Attendance (Lesson Monitor)/ Letters | Print Letters to print the 100percent attendance certificate that has just been created for any pupils. \nOnce the report has run, attach the letter to the individual pupil record by placing a tick against their name and clicking the OK button. \nThis report will now be available to view within a pupil’s Basic Details in the Links panel under Linked Documents. \nStep by Step-To Copy a Letter Definition: \n1.
