We are way more likely to see the dreaded red x \n• Excel can be a valuable tool for verifying the data in your submission before you upload into PIMS \n• This presentation will cover some basic functions a PIMS Administrator can use to validate template data before uploading to PIMS \n• Before we get to the helpful functions, first we need to get our PIMS template into Excel \nFormatting in Excel \n-Anyone that has ever tried to work with a PIMS template in Excel knows that it can come with its own set of challenges… beginning with the format of the data in your template . \nYou start with a CSV file that has all of your data formatted exactly to the PIMS template specification \nThen you attempt to open the CSV file in Excel and all that formatting goes out the window…. \nIf you make changes to this file and need to save it for any reason, your fields will no longer in the proper format and they will not pass the file validation and you won’t be able to add the file to a batch \n*When you try to open a CSV file in Excel, the program applies general formatting rules to the file \nWhat does that mean to me? \n- Any text that looks like a number will be formatted like a number without any leading zeroes \n- Any text that looks like a date will be formatted with the standard \nMM/DD/YYYY instead of the PIMS required ISO format of YYYY-MM-DD \n• There are quite a few fields in your PIMS templates that could be affected when Excel applies general formatting to the file \n• All date fields such as School Year Date, Birth date and Grade 09 Entry Date (just to name a few) \n• Any number field that could potentially start with a leading zero like Location Code and Current Grade level \nThe best way to avoid having Excel reformat your data is to “Import” your file into Excel \n- Start by opening a new blank workbook \n- Then go to the Data tab and in the Get & Transform Data section, choose “From Text/CSV” \n- a window will open for you to navigate to and select the file you want to open. Select the file then click the Import button \nAfter you choose Import, your data will appear in a preview window \n-Beginning in 2016 Power Query is integrated with Excel for Getting & Transforming Data \n-Prior to 2016 the process uses the Import wizard \n-Difference in the 2 versions are seen below \nExcel 2010 and 2013 \nExcel 2016 \nExcel 2010 & 2013 \n• On Step 1 of the Text Import Wizard make sure the option for Delimited is selected under file type \n• If your file contains a header row, make sure you check the box for “My data has headers” \n• Click on Next \n• On Step 2 of the Import Wizard, choose your delimiter. In this example we are using a CSV (also known as a comma delimited file) so we will choose Comma asthe delimiter \n• Some programs surround your text fields with quotation marks when creating a CSV file so make sure you choose that as your text qualifier if your fields have them \n• Then choose Next \nYou’ll notice on Step 3, Excel wants to apply the General format to the data you are importing and if you let it, it will reformat your dates and drop any leading zeroes from number fields as we saw earlier \n• To force Excel to apply a Text format to your Data, you will need to click on the 1st column then scroll (using the bar at the bottom) all the way to the last column . Then while holding down the Shift key on your keyboard, click on the last column. This will select all columns in your input file . \nNow that you have all the columns selected, you want to change the Column Data format from General to Text and the click Finish \nThe final window that appears wants to know what to do with the data, put it in the existing s","cbCaik0LEdS9XqZi","https://ap.wps.com/l/cbCaik0LEdS9XqZi","pdf",1226598,52,"English","# Excel Tips and Tricks for the PIMS Administrator\n## Validating PIMS template data before upload\n## Formatting challenges with CSV files in Excel\n## Importing CSV data using Power Query or the Import Wizard","[{\"question\":\"Why do PIMS administrator CSV uploads often fail the first time?\",\"answer\":\"Excel may automatically apply General formatting when a CSV is opened, causing dates and number fields to change and fail PIMS validation.
