Lisbon – Japanese & Korean Studies Librarian, Assistant Professor \nUniversity of Colorado [Boulder | adam.lisbon@colorado.edu](Boulder | adam.lisbon@colorado.edu) \nChallenge, reason for creating: \n• The CU Departm ent of Asian Languages and Civilization expanded it ’s program to include Korean Studies . \n• Not being able to understand Korean created a challenge for how Korean m aterials were going to be selected . \n• Needed a system to quickly let faculty get the books they needed without constantly asking for help . \n• Brain storm ed with Korean Studies faculty – decided tom ove vendor supplied m onograph lists to Google Sheets, faculty would then pick which books they wanted . \n• Led to far less em ail back and forth . And could process requests quickly \n• Was so successful that it was implem ented for Japanese Studies faculty as well. \n• Moved variou s reports to Google Sheets: \n• Saved lists of what faculty orders \n• Monthly reports of new arrivals \nWorkflow \n• Need to p rep spreadsheets from vendor, run an excel m acro to re arrange data autom atically. \n• The data column s on the spreadsheet are a balance of being easier to read for faculty picking books and what Acquisition s needs to process orders . \n• Books are sorted by vendor provided categories . Let ’s faculty focu s on topics they are m ost interested in . \n• “date received by vendor column” is for m e (the librarian ) tom ake sure I’ve added all vendor lists em ailed to m e . The data m atches the date the em ail was received . \n• After selection s a re m ade, results are filtered to rem ove books with no requests . \n• 1 rank = rush order \n• 2 rank = order right away \n• 3 rank = wait until end o fye ar if there are funds • 4 rank = like 3, but receives lowest priority \nEssential features: \n• Use data protection to keep users from accidentally altering others’ choices or deleting bibliographic data. \n• Use data validation to keep responses consistent. \n• You could use the ‘notifications’ feature in Google Sheets to em ail you when som eone is actively using the sheet . \nHow to set up a Google Sheet \nConclusions / Challenges: \nEach name links to a Google Form where a faculty member can ask for any kind of item . The link prefills their name into the form . \nAnything not wanted goe s here (just in case ). \nMaterials asked for are transferred here . \nOnly this sheet can be edited by reque sters . \n• Most helpful if you m anage collections in a language you don’t speak. \n• Have not had unm anageable am ounts of requests or problem s staying within budget . \n• Even with 2000 books, faculty seem to browse the docum ent quickly: within 20 m inutes . \n• Som e faculty don ’t / won ’t u se it . Still m anage their requests through em ails and other form s . \n• Not had enough tim e to explore why faculty m embers don ’t wa nt to u se it . Likely factors are: personal \nthink the librarian should pick all m aterials, com fort with web-based cloud software , lack of tim e . \n• Faculty m ay not understand personal vs. professional Chrom e profiles . Add their personal em ails if they tend to access the spreadsheet through that account . \npreference, \n• Make vernacular script title column wider/longer \nFuture / Other Uses / Other ideas: \n• Monthly reports for newly arrived m aterials . \n• This u sed to be incorporated into the sheet on the left, but it ’s difficult to separate m aterials about Korea and Japan . Japanese & Korean Studies faculty receive a separate \nspreadsheet with new arrivals . \n• Accessibility? Larger fonts for a typical vision? Compatibility with screen reader?","cbCaiiw11TgpkHtA","https://ap.wps.com/l/cbCaiiw11TgpkHtA","pdf",484404,"English","# Challenge, reason for creating\n## Workflow and workflow setup\n## Essential features\n# How to set up a Google Sheet\n# Conclusions / Challenges\n## Future / Other uses","[{\"question\":\"What problem did the project aim to solve in material selection?\",\"answer\":\"The program expanded to include Korean Studies, and Korean language understanding was a challenge for selecting Korean materials.
