Mr. King expressed concern for changing the order of items in the agenda, especially if people were planning to come later in the evening specifically for that discussion. After discussion, it was agreed to keep the item in its original spot. \nReview of discussions/presentations planned for future meetings \nIt was noted that on March 10 there will be a joint meeting with the School Committee Finance Subcommittee along with some department presentations. The Chief Financial Officer, Mary Ellen Kelley, will be present for that. The March 24 meeting will have a Capital Budget Presentation from Parks and Recreation as well as one from Facilities. Brief discussion on whether an additional meeting might be necessary. Mr. Steiner asked subcommittee members to think about the dates of May 2 or May 9 for the Saturday, suggesting that choosing the date might depend on when get budget. It was noted that if departments can come in with their budgets in the regular meetings, that Saturday meeting may not be too full. \nDiscussion followed on the departments who were at the last Saturday meeting. What departments do we want to meet with? Do we want to do that before we get the budget? Mr. Cannon suggested that it would be valuable to hear how departmental budgets varied from the previous one. Was it \nsuccessful? What do they predict for the coming year? Mr. Stewart-Morales theorized that getting pieces of the budget early would allow more time for review. \nSmartSheet Demonstration \nPresent: Jen Pratt, Assistant Chief Financial Officer. \nMs. Pratt accessed the SmartSheet program on the Blumer Room computer and displayed the pages on the large screens. She noted that it is a software program that allows the Finance Division to share information with the public. It pulls information out of the municipal records in pre-determined categories for easy review. Ms. Pratt explained how the program works, noting that each department enters their budget information into it and then the combined information is submitted to the Mayor for review. \nMr. King stated he found the spreadsheet format difficult to understand. Ms. Pratt responded that users will need to move the screen from side to side to access the comment field and other sheets become available as well. It was noted that the data could be provided in other formats such as Excel.
