Drafting business correspondence may be different than the writing you do for classes. Use this packet and have your letter proofread by a career counselor to ensure that you are presenting yourself in the best possible light to employers. Types of business correspondence covered include: \nÌ Cover Letters \nÌ Thank You Letters \nÌ Acceptance Letters \nÌ Rejection Letters \nÌ Withdrawal Letters \nGENERAL GUIDELINES \nÌ Use professional business letter format. \nÌ Make sure you sign all your letters in blue or black ink. \nÌ Address cover letters to a specific person. Call if you do not have a contact person. Avoid sending letters to “Human Resources Manager” or “Hiring Coordinator.” \nÌ Confirm gender on ambiguous names (Chris, Kelly, etc) . \nÌ Use standard, easy-to-read fonts such as Times New Roman or Arial. \nÌ Use the same paper and font as your resume. \nÌ Use envelopes that match your paper. Type, not handwrite, addresses on envelopes. \nÌ Proofread your letters carefully. \nÌ Use professional writing style (i.e. do not use contractions, slang, etc.) Language should be polite and to the point. \nÌ Avoid simply using photocopied “To Whom It May Concern” letters. \nÌ Don’t forget to send a cover letter with a resume and vice versa! \nÌ Don’t rush the cover letter process. Many people find that writing a cover letter is more difficult than writing a resume. Let someone in Career Services proofread drafts of your cover letter. \nÌ Keep copies of all correspondence with employers. \nÌ Use a laser printer. \nÌ Close each letter with an appropriate salutation such as Sincerely, Cordially, Gratefully, Best regards, etc. \nELECTRONIC COMMUNICATION \nChances are good that you will be using email for part, if not all, of your job search written communication. Here are several suggestions for ensuring clear, effective, and professional electronic communication: \nSending Email to Employers \nÌ Make your subject line as specific as possible (i.e.“Resume for Management Trainee Opening,” “Follow Up from Interview 6/14/07,” etc.) Avoid subject lines that are too general such as “Job Search” or “Resume.” Some companies will ask that you reference a job title, code, or number in your subject line. \nELECTRONIC COMMUNICATION (CONTINUED) \nÌ Address and sign your emails. Begin messages with “Dear Ms. Brown:” or “Mr. McNulty:” and sign your messages with your full name and contact information. If you use the signature feature of your email system, do not include unnecessary quotations. \nÌ Use plain text, not HTML email. Some systems cannot support HTML email. \nÌ Use an easy to decipher and professional email address. While “[cutiepie@aol.com](cutiepie@aol.com)”might be appropriate for informal personal communication, it’s better to use an email that includes part of your name for professional email correspondence (i.e. [bgibson@hotmail.com](bgibson@hotmail.com)). It’s recommended to have one email address that you check daily just for your job search. Free email accounts are readily available on the web. \nÌ Spelling and grammar count, even on email. Again, proofread your message carefully before hitting “send.” \nÌ Provide a personal name if your email system allows it. People are more likely to read an email from “John Doe” than “[jd1455@aol.com](jd1455@aol.com).” \nÌ Don’t expect an immediate answer. Electronic mail is about dealing with communication when you are able to do so. \nIssues Specific to Resumes and Cover Letters \nFollow the employer’s guidelines for sending resumes. Some will indicate that they prefer attachments in MS Word, for example, and others will ex","cbCaijGSUCUZ7hEZ","https://ap.wps.com/l/cbCaijGSUCUZ7hEZ","pdf",501964,"English","# Business Correspondence Overview\n## General Guidelines\n## Electronic Communication\n## Sending Email to Employers\n## Addressing and Signing Emails\n## Issues Specific to Resumes and Cover Letters\n## Basic Netiquette\n# Cover Letters","[{\"question\":\"What types of business correspondence are covered in this packet?\",\"answer\":\"The packet covers cover letters, thank-you letters, acceptance letters, rejection letters, and withdrawal letters.\"},{\"question\":\"What general guidelines should be followed for professional business letters?\",\"answer\":\"Use professional letter format, sign in blue or black ink, address cover letters to a specific person, use clear readable fonts, keep copies, proofread carefully, and close with an appropriate salutation.\"},{\"question\":\"How should email for a job search be handled to stay professional?\",\"answer\":\"Use specific subject lines, address and sign emails properly, prefer plain text over HTML, choose an easy-to-read professional email address, proofread for spelling and grammar, and follow netiquette such as avoiding all caps and slang.\"}]","Business Correspondence - Career Services Communication Guide | PDF",1789303558]
