We request that parents take cognisance of this and make every effort to avoid owing money to the College. The College will take all reasonable measures to vigorously collect debts as part of its management of funds. \nA debt will only be passed onto an external debt collection agency after the Contract of Enrollment has been terminated and only after all reasonable measures (commensurate with the size and nature of the debt) have been taken to recover it. The College’s debt recovery policy will observe the relevant financial regulations, ethics and any other legal requirements. \nBackground: \nBad debt is a cost to the College and negatively impacts all the stakeholders of the College. \n1. Debt Management Policy \nReporting of outstanding debt levels-The Business Manager will ensure that the level of outstanding debt is regularly monitored in conjunction with the Headmaster. \nSuitable records will be maintained to detail individual debts and the total value of debt to the school in order that it can be determined at any time and reported to the Finance Committee and/or the Board of Governors ( BOG) . \nThe BOG will review the level of outstanding debt twice a year to determine whether this level is acceptable and whether action to recover debts is effective. \n2. Debt Recovery Procedures \nWhere payment from the parent/guardian has not been received in advance, or ‘at the point of sale’, the following process should be applied: \n2.1 Initial Overdue Payment Reminder (30 days) \nAn Initial Overdue Payment Letter at 30 days will be sent to the parent/guardian , and this will be accompanied by telephonic contact. The date of the initial reminder will be recorded. \nPolicy-Bad Debt Version 1-February 2022 \nVersion 2-May 2023 \nCurrent Version-July 2024 \n2.2 First Overdue Payment Reminder (60 days) \nA First Overdue Payment Reminder letter is issued one month after the Initial Overdue Payment Reminder. If action is to proceed further, it is necessary to prove that all reasonable attempts have been made to recover the debt, and that these attempts have been made in a timely manner, i.e. atthe time that the debt first became overdue. The date of the Overdue Payment Reminder will be recorded. \n2.3 Second Overdue Payment Reminder (90 days) \nA Second Overdue Payment Reminder letter will be issued one month after the First Overdue Payment Reminder letter. The date of the second reminder letter will be recorded. \n3. Failure to respond to reminders / settle a debt \nIf there is no response to the Second Overdue Payment Reminder letter the pupil will be suspended from school until such time as the debtor has met with the Business Manager/Credit Controller to discuss how the debt will be settled. Should the parents/guardians repeatedly fail to respond to requests to meet, they will be informed in writing that alternative arrangements for schooling for their son/ward will need to be made. One term’s notice will be given in the event of the Contract of Enrollment being terminated. The total debt owed may not exceed R65 000 per account. \n4. Negotiation of repayment terms \nDebtors are expected to settle the amount owed as quickly as possible after receiving the First Overdue Payment Reminder. Repayment terms may be negotiated by the Credit Controller. In addition to the repayment terms for the outstanding debt, it is to be noted that school fees are to be kept current. Parents are to note that certain services may be suspended in the event of fees not being current. These services may include sports tours, non compulsory excursions, matric farewell and valediction, among other things. \nThe College will make every effort to work with parents to prevent debts mounting. The College may negotiate repayment terms for the outstanding balance, however if these payment terms are not adhered to,","cbCaiu6TegCUOw8X","https://ap.wps.com/l/cbCaiu6TegCUOw8X","pdf",484281,"English","# Purpose\n# Debt Management Policy\n# Debt Recovery Procedures\n## Initial overdue reminder (30 days)\n## First overdue reminder (60 days)\n## Second overdue reminder (90 days)\n# Failure to respond / settle a debt\n# Negotiation of repayment terms\n# If parent/guardian are unable to pay","[{\"question\":\"Under what circumstances may the school reduce or cancel a debt?\",\"answer\":\"The school may reduce or cancel a debt where paying would cause financial hardship, where recovery action might worsen ill health, where the debt value is less than recovery costs, or where multiple debts exist and a single repayment plan is possible.\"}]","Bad Debt Policy - CBC - Current Version July 2024 | PDF",1789502583]
