It is recommended that there are at least two trusted agents in the organization. Trusted agents, by default, have full access to online reporting, TAA, and other systems accessed through [success.act.org](success.act.org). \nRole Responsibilities \nIn the trusted agent role, you have the following responsibilities: \n⚫ View, add, and remove users at the district and school level within your hierarchy. \n⚫ Grant or remove the following access roles to other users in your organization for ACT assessments—the ACT®, PreACT® 8/9, PreACT®, PreACT® 9 Secure™, and PreACT® Secure™: \no Trusted agent \no Detailed viewer \no Summary viewer \no Test accommodations coordinator (only needed for the ACT® assessment) \n⚫ Access the online reporting system user activity report for your organization. \n⚫ Manage your organizational hierarchy. \nManaging Users \nTo protect the data in your hierarchy, ACT recommends the following best practices to manage users in your organization: \n⚫ Grant the level of access that best fits the needs of the user. The highest level of \naccess is the trusted agent, which includes user management and should not be given to every user in your organization: \no Trusted agent (online reporting and TAA): \n• Views, adds, and removes users at district and school levels. \n• Views and exports summary and detailed individual data and reports. \n• Accesses the user activity report within Data Interaction. \n• This role can see student personal identifiable information (PII) . (District test coordinators participating in State testing contracts are automatically granted this level of access from the organizational file.) \no Detailed viewer (online reporting): \n• Views and exports summary and detailed individual data and reports (e.g., school principal, school counselor) . \n• This role can see student PII. (School test coordinators participating in State and District contracts are automatically granted this level of access from the organizational file.) \no Summary viewer (online reporting): \n• Views and exports summary data and reports (e.g., district official, state official) . \n• This role cannot see student PII. \no Test accommodations coordinator (TAA) (only needed for the ACT® assessment): \n• Submits TAA requests for any examinees who need to test with accommodations or supports (e.g., school test coordinator, counselor) . \n• This role handles student PII. \n⚫ Only approve user access that is connected to your organization’s email system. Ask users to create a Success account with your organization’s email address. \n⚫ Perform an audit on the system. ACT recommends doing these at least annually. If testing more than once per year, performing audits prior to each administration is most effective. The audit should include the following checks: \no National hierarchy information in [Success.act.org](Success.act.org) is correct (schools in district, etc.). \no Users are current employees of your organization. \no Users have the correct role at the correct level of the hierarchy (role changes that would warrant an access change) . \n[o](o Success.act.org)[ Success.act.org](o Success.act.org) accounts of users are attached to organization email addresses and not personal emails. \n⚫ Ensure that at least two people at a school have test accommodations coordinator access. This role, however, does not require trusted agent access.","cbCaisb9ttJDvgxu","https://ap.wps.com/l/cbCaisb9ttJDvgxu","pdf",185604,"English","# Role Responsibilities\n# Managing Users\n## Grant Appropriate Access Levels\n## Authorize Accounts via Organization Email\n## Perform System Audits\n## Ensure Test Accommodations Coordinator Coverage","[{\"question\":\"What is a trusted agent and what authority do they manage?\",\"answer\":\"A trusted agent is delegated authority to manage access to the TAA system and to handle online reporting user accounts and organization information for districts and/or schools in their jurisdiction.\"},{\"question\":\"What are the key responsibilities of a trusted agent?\",\"answer\":\"Responsibilities include viewing, adding, and removing users within the district/school hierarchy; granting or removing specific access roles for ACT and PreACT assessments; accessing the online reporting user activity report; and managing the organizational hierarchy.\"},{\"question\":\"How does ACT recommend protecting user and hierarchy data?\",\"answer\":\"ACT recommends granting only the access level that fits each user’s needs, using organization email addresses tied to Success accounts, and performing audits at least annually (or before each administration if testing more than once per year).\"}]","Trusted Agents - Best Practices for ACT and PreACT Assessments | PDF",1791521451]
