Due to these continual modifications, it can be difficult to maintain timely and accurate documentation of the site. To make additional modifications, repair and/or maintain equipment, and implement strategic growth decisions, the real estate, design, construction, and facilities teams need to be able to rely on their documentation for a thorough understanding of the current building conditions, critical systems, and layout. \nAn effective approach to overcoming this challenge is to comprehensively review the as-built documents and perform a field audit. This approach ensures the record documents align with existing conditions and provides the client with accurate information on the current condition, layout, critical systems, and equipment at their sites. Having accurate current conditions documents can save hours of response time when emergent repairs are required while also eliminating the frustrating process of discovering that field modifications conflict with future design intent, ultimately saving the client weeks or even months of figuring out how to expand or modify \ntheir facility. More importantly, accurate and updated information can minimize downtime to the client’s equipment and critical systems infrastructure, providing uninterrupted access to their own clients and teams around the globe. The cost of downtime to data center facilities is measured in millions of dollars per hour, so avoiding it is essential. \nField Verification and As-Built Documentation Process \nTo address the concerns outlined above, Cumming recommends taking a two-step approach to the audit. First, the completeness and accuracy of the existing site documentation (including turnover documentation) should be thoroughly reviewed; second, the as-built condition in the field should be cross-referenced with the information contained in the existing documentation. To ensure efficiency and accuracy in the final product, we recommend managing each site review with consistent leaders and team members. Their familiarity with the sites, which stems from their review of the documentation, is key to success in the field. \nExample documentation of a Quality Audit log for a single site. \nAS-BUILT DOCUMENTATION REVIEWS \nAn audit checklist should be created at the start of the process to produce an inventory of all client drawings that identifies the file location, confirms compliance with document criteria, and identifies any missing documents. This checklist streamlines the ability of both the client and the project team to find documents and supports the management of the project’s deliverables while improving future document-tracking capabilities. \nThe review and audit team can utilize the client’s existing electronic document storage methods to organize and collate the data, or alternatively there are several out-ofthe-box software solutions that can help project owners create documentation logs and variance reports for each item, while conforming the documents into a single set of as-built drawings that represent the most up-to-date information available. \nDocument Review \nTo ensure maximum effectiveness, the review and audit team should obtain all available construction turnover documents from the client for each site and verify that they are in accordance with the scope of work for the project.
