This guide \nwill help you overcome any problems you encounter when organising your awards activities and key aspects involved in organising and managing school award ceremonies to celebrate the achievements of your learners. \nWe hope that you find the information, suggestions, and tips useful and informative. \nLogistical arrangements \nSetting a date \nIn preparation to scheduling your awards ceremony date we advise you visit our page, How can I find out more about the Outstanding Cambridge Learner Awards? \nThis way you can identify when you’re likely to receive your awards. To ensure you have sufficient time to make arrangements between receiving the certificates and hosting the event, we suggest scheduling your ceremony the month after they are expected to be release. In addition, choose a date when your chief guest and sponsor are available, where relevant. \nMy awards certificates have not been delivered in time for our ceremony. \nIf the awards certificates have not been delivered in time for your school awards ceremony, contact your local Cambridge regional staff member. They will contact the Cambridge Events team to obtain a UPS tracking number if necessary. \nSecuring a chief guest \nInviting a chief guest to attend your event could raise the profile of your awards ceremony and increase opportunities for media attention and PR coverage. You will need to choose a suitable chief guest and send an official invitation from the school. This should include an outline of how you would like the chief guest to be involved, such as delivering a speech or presenting the awards to learners, along with other key details such as the proposed date and location. You can then set a date based on the availability of the chief guest. \nWhat do we do if our guest of honour, who is due to present the awards, is late? \nEnsure that you have a contingency plan in place. This may involve arranging a substitute whois ready to step in if required. Or you could rearrange your ceremony programme, for example starting the ceremony with the student performance. \nSetting a programme \nStandard features that we recommend you include in your ceremony programme are a speech from the school principal, a speech from a selection of the award winners and short learner performances to provide an entertainment aspect, such as a poetry or musical recital. These add a personal aspect to the ceremony. If a chief guest or sponsor is involved, it might also be appropriate to invite them to say a few words of congratulations to the learners. \nWe recommend that you introduce your award winners according to the award categories. We have provided an example programme and information on award categories as part of the awards support materials. \nAwarding prizes \nWe will provide an award certificate for each of the award winners. We will send these directly to the school. Schools may also wish to provide individual prizes to recognise their learners’achievements, these should be reusable items, which are not branded bespoke to the student, school, award category or exam series and year. Prizes could include vouchers, books or recycled pens. \nSeating arrangements \nAllocate a reserved seating area close to the stage for the award winners. This will allow you to present the prizes efficiently and keep the momentum of the occasion. \nWe are expecting more guests to attend than we have received replies from. \nIf there is a risk that more guests than those who have replied will turn up, ensure you are prepared, by using flexible menu items and having quick-serve options available. You could also introduce a system to manage numbers e.g. guests must bring proof of invitation so that you can manage numbers and expectations. \nExploring sponsorship opportunities \nSchools may wish to consider approaching local organisation","cbCaidA9ff5RcwoP","https://ap.wps.com/l/cbCaidA9ff5RcwoP","pdf",158305,"English","# Logistical arrangements\n## Setting a date\n## Securing a chief guest\n## Setting a programme\n## Awarding prizes\n## Seating arrangements\n## Exploring sponsorship opportunities\n## Promoting your awards ceremony\n## Media press release\n## Award winners poster\n## Award winners video\n## Photographs","[{\"question\":\"How should schools choose a date for the awards ceremony?\",\"answer\":\"Schedule the ceremony for the month after the certificates are expected to be released, and pick a date when the chief guest and sponsor are available if applicable.\"},{\"question\":\"What should a school do if the awards certificates arrive late?\",\"answer\":\"Contact the local Cambridge regional staff member.
