A large language model was used to help develop the text and verify \nreferences. \nAbstract \nOrganizations store critical knowledge (requirements, design rationale, documentation, configuration) in proprietary tools whose lifecycles are far shorter than the products they describe. When these tools are discontinued, the knowledge becomes inaccessible, breaking regulatory traceability, inflating maintenance costs, and eroding institutional memory. This article argues that open file formats and open communication protocols, not the tools themselves, are the critical factor for long-term organizational success. It surveys the evidence on vendor lock-in, tool fragmentation, context switching costs, and technical debt accumulation, then examines how monorepo strategies, text-based artifacts, and stable interface conventions address these problems at scale. The central claim is that when the interface between systems is open and stable, the implementation behind it can change freely; when it is proprietary, every change becomes a migration project. Because open formats separate storage from presentation, agents can generate custom user interfaces on demand, making the underlying formats accessible to non-technical users without sacrificing tool independence. Open interfaces preserve optionality, enable automated validation, and survive every tool transition. Tools are temporary. Open interfaces are the foundation. \n1 The Interface Problem \nConsider a mid-sized engineering company. Requirements live in a proprietary requirements management tool. Documentation lives in Confluence. Architecture diagrams live in a proprietary modeling tool. Code lives in Git. A new engineer needs to trace a requirement to its implementation. She opens four applications, logs into three different systems, and manually searches across disconnected interfaces. The requirement was updated last week, but the documentation still reflects the old version. Nobody noticed because there is no automated check linking the two. This is normal. This is expensive. \nNow consider the same company fifteen years later. A safety incident requires revisiting a product variant from 2011 . The requirements were in a tool the company stopped licensing in 2018 . The vendor was acquired, and the hosted service was shut down in 2020 . An export exists, but it is in a proprietary XML dialect that no current tool reads correctly. The design documentation was in a wiki whose database backup requires a specific PostgreSQL version and a discontinued plugin. The code compiles, but nobody can reconstruct why certain design decisions were made, because the rationale lived in the requirements tool, not in the repository. The regulatory authority asks for full traceability. The company cannot provide it. \nNow consider an alternative: a company where requirements are structured text files in the same repository as the code. Documentation is Markdown or LATEX alongside the source. Architecture diagrams are text-based specifications in Mermaid or PlantUML (text-based diagram \nlanguages) . A continuous integration (CI) job validates that every requirement ID referenced in code exists in the requirements files, and vice versa. Fifteen years later, checking out a historical version gives the complete picture: requirements, rationale, documentation, code, and their relationships, all in formats that any text editor can read. git log shows the full history. grep finds any cross-reference. The build still works because the formats are self-describing and tool-independent. \nThe difference between these scenarios is not the tools. It is the interfaces. Products that must be maintained for decades cannot afford to depend on tools that may not exist in ten years.
