Use this checklist as a summary of all the requirements needed to successfully submit your as-built submissions.  \nWho can submit record drawing submissions?  \nAll as-built record drawings must be submitted by the Project Management team (BGIS, Colliers) . If the submission is sent by a Consultant, the PM must be copied. If the PM is not copied on the submission, your submission will be rejected.  \nSee section 4.8 of the IO CAD Standard Guidelines for more information.  \nWhat files do I need to submit for record drawing submissions?  \nThe following files are required to successfully submit as-built record drawings:  \n✓ AutoCAD project as-built drawings (DWGs ) and raster images (if any)  \n✓ PDF version of the as-built drawings  \no PDF drawings will not be accepted without the inclusion of AutoCAD files  \n✓ Preliminary audit report – must indicate a “Conditional Pass”  \n✓ Project submission form (email [io.workplace@bgis.com](io.workplace@bgis.com) to obtain a copy) See section 4.8 of the IO CAD Standard Guidelines for more information.  \nHow do I submit record drawing submissions?  \n✓ Each project (unique project number) must be submitted in a separate email to [io.workplace@bgis.com](io.workplace@bgis.com).  \n✓ Bundled projects (multiple projects that have been combined into one IO project number) will be accepted in one email provided the parent IO project number is identified  \n✓ The email subject heading must include  \no IO project number – IO Kahua assigned project number  \no IO building number – B\\# (5 digits long)  \no IO site number – N\\# (5 digits long)  \no Ministry PSIF number (if known)  \nWhat is the IO Audit Tool?  \nThe IO Audit tool will ensure all drawings adhere to the IO CAD Standards. There are two plug-ins available:  \n▪ AutoCAD 2022-2024 – use version 8  \n▪ AutoCAD 2025 – use version 9  \nBoth plug-ins can be found and downloaded from IO CAD Standards.  \nThe Audit tool is not supported by AutoCAD LT or Microsoft station. If a consultant cannot produce the required audit report, they are responsible for ensuring the provided data meets the minimum IO CAD Standards (Section 1.4 of the CAD Standard Guidelines) . It is the responsibility of the Project Manager to produce the audit report.  \nHow do I ensure my submission will pass the audit?  \n1. File names (DWG and PDF) must follow the File Name Policy in Section 4.5 of the IO CAD Standards. This includes the following 4 attributes that coincides with a matching attribute in the drawing’s title block:  \nYYYYMMDD \\#\\#\\#\\#\\#\\#\\#\\# X\\#\\#\\# DrawingTitle.dwg  \n• Substantial Performance Date  \n• IO Project Number  \n• Drawing Number  \n• Drawing Title  \nNote: The First Letter In Each Word Is Capitalized. If the drawing file includes multiple layouts, the filename is to be based on the information in the first layout tab.  \n2. Run a preliminary Audit Report using the Plugin Tool in AutoCAD. (see section 5 of the IO CAD Standards for more information)  \n• Audit reports can be run for a single open drawing or multiple drawings using batch audit.  \n• Only Audit reports with a Conditional Pass will be accepted.  \n• If the Audit report Fails, the tool will identify the errors. Ensure drawings are using the IO Title Blocks included within the Plugin Tool and inserted in the Paper Space with the bottom left corner at 0,0.
