Each user needs to be assigned a role that gives them the right level of access to successfully carry out their tasks. The roles and permissions outlined in this document can help you build your team in ACT Now and determine which roles your team members need to be assigned. \nUnderstanding User Roles \nUser roles reflect user permissions and responsibilities and determine the level of access required to use ACT Now to complete testing tasks. IMPORTANT: You can assign multiple roles in ACT Now to a single user. \nAn individual user can view only the organization(s) associated with that user. For example, a district test coordinator may see all the schools in their district while a school test coordinator may only see their individual school. \nThe following roles and access levels are available for selection in ACT Now, and illustrated in the figure on page 2: \n􀁺 Contract coordinator provides program oversight at the highest organization level in the state or district contract. \n􀁺 District test coordinator provides district-level oversight and has district-and school-level accesses in ACT Now. \n􀁺 School test coordinator provides school-level oversight and access in ACT Now to manage students, test event staff, and test event details. \n􀁺 Organization invitation importer has permission to upload an Organization Participation File into ACT Now, which allows users to confirm their school’s participation in an upcoming administration. If a district test coordinator needs permission to import an Organization Participation File, then the contract coordinator would need to assign both the district test coordinator role AND the organization invitation importer role to that individual. \n􀁺 Student data importer has permission to import a Student Registration File into ACT Now. This user also has permission to import an Accommodations Students File for PreACT Assessments and WorkKeys. If a district or school test coordinator needs the ability to import student data, they will need the student data importer role AND their test coordinator role. \n􀁺 School administrator (often the superintendent or principal) can be assigned to support school staff directly involved in test administration. This optional role has view-only access at the district or school level and may send reminders to testing staff. This role is often used by principals who wish to monitor progress. \n􀁺 Test accommodations coordinator can optionally be assigned to help the test coordinator manage accommodations and supports on behalf of students at the school level. \n􀁺 Test event staff (including room supervisors, room proctors, and roving proctors) provide test-day test administration coverage at the school level. This role will primarily use ACT Now to access TCM for test day administration and policy review. \n© 2026 by ACT Education Corp. All rights reserved.
